1. Introduction
Welcome to Mariner's Log ("we," "our," or "us"). We are committed to protecting your personal information and your right to privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our web application and web service.
2. Information We Collect
We collect information that you provide directly to us, including:
- Account Information: Email address, name, and captain name when you create an account
- Vessel Information: Vessel type, passenger count, and operational settings
- Log Entries: Voice recordings, transcriptions, location data, weather information, and timestamps
- Media: Video recordings and photos are kept in the browser on the device that recorded them and are not collected by us (see section 6)
- Location Data: GPS coordinates for departure and arrival locations (with your permission)
Commercial Mode Data Collection
When operating in Commercial mode, our AI assistant collects additional information in accordance with USCG Official Logbook Requirements (46 USC 11301) and 46 CFR 131.620:
Equipment Tests & Safety Checks
- Steering gear tests prior to departure
- Internal communication systems (IC) checks
- General alarm and emergency systems tests
- Navigation lights and running lights verification
- EPIRB status and life raft inspections
- Fire detection and suppression system checks
- Draft and loadline verification
Drill Documentation
- Fire drills with date, time, and participants
- Abandon ship drills with equipment tested
- Man overboard (MOB) drills
- Deficiencies noted and corrective actions taken
Crew Documentation
- All crew members on board with positions
- Crew changes with dates and locations
- Credential verifications (MMC, TWIC, certifications)
- Watch assignments and relief times
- Passenger count at departure and any changes
Voyage & Navigation Data
- Departure and arrival times with locations
- Course changes and positions
- Weather conditions and sea state
- Fuel levels and engine hours
Incidents & Casualties
- Injuries or illnesses with treatment provided
- Equipment failures or malfunctions
- Collisions, groundings, or near-misses
- Pollution incidents or discharges
- Distress signals observed or rendered
- Law enforcement or Coast Guard interactions
Maintenance & Repairs
- Maintenance performed during voyage
- Emergency repairs with descriptions
- Outstanding deficiencies and planned corrections
Billing Information
If you subscribe, we collect a payment-processor customer identifier and your subscription status, plan and renewal date. We do not collect or store your card details. See Section 5.
3. How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve our services
- Process and store your captain's log entries
- Generate AI-powered transcriptions and summaries
- Provide weather and location context for your logs
- Communicate with you about service updates
- Ensure compliance with maritime regulations
- Provide customer support
4. Data Storage and Security
Your data is stored securely using industry-standard encryption. Written log entries are saved to our servers when you are signed in and online; video recordings stay on your device (see section 6). We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction.
5. Billing and Payment Information
When you start a subscription or a free trial, payment is handled by our payment processor, Stripe, Inc. You enter your card details on a page hosted by Stripe. We never receive or store your full card number, expiry date or security code.
What we do store, and what it is used for:
- A Stripe customer identifier, so we can link your account to your subscription
- Your subscription status, plan, renewal date and whether it is set to cancel
- Your email address, which is passed to Stripe so it can send you receipts
- A record of the billing events Stripe sends us, so a payment is never applied twice
Stripe processes your payment details as an independent controller under its own privacy policy, and may use them for fraud prevention and to meet its legal obligations. Stripe is certified under PCI DSS. Billing records are retained for as long as tax and accounting law requires, which is generally seven years, even after an account is closed.
6. Where Your Log Data Actually Lives
It is worth being precise about this, because the two halves of a log entry are stored very differently.
- The written log (transcript, timestamps, positions, weather, crew and signature) is stored in our database on our servers, and is available on any device you sign in to.
- Video recordings are stored only in the browser storage of the device that recorded them. They are not uploaded to our servers, we cannot see them, and they are not backed up by us.
This is good for your privacy and you should understand what it means for you: if you clear your browser data for this site, use a different device, or lose the device, the video for those entries is gone and we cannot restore it. The written log is unaffected. Export the entries you want to keep.
7. Data Sharing and Disclosure
We do not sell your personal information. We may share your information only in the following circumstances:
- With Your Consent: When you explicitly authorize us to share information
- Service Providers: With third-party services that help us operate our app (e.g., cloud storage, AI transcription)
- Legal Requirements: When required by law, court order, or regulatory authorities
- Safety: To protect the safety and security of our users or the public
8. Your Rights and Choices
You have the right to:
- Access, update, or delete your personal information
- Export your log data in standard formats
- Opt out of non-essential communications
- Disable location services (though this may limit functionality)
- Request a copy of your data
9. Data Retention
We retain your log entries and personal information for as long as your account is active or as needed to provide you services. You may request deletion of your account and associated data at any time. Some information may be retained as required by maritime regulations or legal obligations.
10. Children's Privacy
Our service is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information, please contact us.
11. International Data Transfers
Your information may be transferred to and processed in countries other than your country of residence. These countries may have different data protection laws. We ensure appropriate safeguards are in place to protect your information.
12. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date. You are advised to review this Privacy Policy periodically for any changes.
13. Governing Law
This Privacy Policy shall be governed by and construed in accordance with the laws of the United States and the State of Hawaii, without regard to conflict of law provisions.
